Hone your organisational skills and increase your productivity with these 5 strategies:
Goal setting
Set your yearly goals and work backwards to break them down into quarterly, monthly and weekly goals. This will help you identify a particular day’s tasks/activities for the week.
Prioritisation
Create a prioritised to-do list for the day. The ‘Stephen Covey Time Management Matrix’ is one of the best tools for this. Assess the priority of tasks based on their ‘urgency’ (U) and ‘importance’(I). All ‘Urgent & Important’ tasks (Q1) must be dealt with immediately; All ‘Important’ tasks (Q2) must be scheduled to be completed within a specified time frame; All ‘Urgent’ tasks (Q3) must be delegated and All ‘Not Important & Not Urgent’ tasks (Q4) must be avoided/ done in your ‘free time’.
Scheduling
Prepare a schedule for your next day’s tasks at the end of today. Input a time slot for each task interspersed with short breaks. You could use the ‘Pomodorotechnique’ for this.
Managing Interruptions
Interruptions are nothing but unscheduled tasks that can distract you and adversely affect productivity. Manage them effectively using the same strategy of prioritisation, i.e. put the time management matrix to good use.
Conquering Procrastination
Ensure you are focusing on the Q1 and Q2 tasks only. However, these can become overwhelming and you may find yourself procrastinating due to the below reasons:
• Tasks seem big or difficult – divide and rule, i.e. break them into small manageable parts and finish them one by one.
• Tasks lack ‘feel good factor’ – bring in the feel good factor yourself by
rewarding yourself and celebrating milestones on the way.
• You fear failure – it’s because you lack something. This could be a lack of knowledge, experience, skill, confidence, etc. Overcome what you lack, equip yourself with the knowledge, skill, or whatever it is you lack, and proceed forward to successfully completing the task.
• You fear success – It’s because you may be overburdened with more work on your plate as you are seen as the ‘performer’. Learn to assertively say ‘no’ and negotiate on tasks that you must work on and tasks that can be
delegated to others!
